Japan visa made simple: Expert tips straight from the Embassy

Here’s what you need to know for a for a seamless visa application and hassle-free Nippon experience.

Let’s face it, applying for a Japanese visa can be daunting. But with the right know-how, the process can be surprisingly straightforward. Any travel-savvy explorer would know that the first step is to equip yourself with practical tips that help you avoid common pitfalls, stay organized, and submit your requirements with confidence.

To clear things up, the Embassy of Japan in the Philippines put together a FAQ guide tackling the five most common visa-related questions from Filipinos planning to submit applications. In the video posted on Facebook posted last March 17, 2026, Mike Suzuki of the Japan Visa Application Center (JVAC) walks viewers through these key concerns, offering clear answers and practical guidance for a smoother application process.

The video was released just in time for the Japan government’s plan to increase visa fees, possibly by up to four times—¥15,000 (around P5,640) for single entry and ¥30,000 (P11,300) for multiple—in April 2026 or not later than March 2027.

It also comes after the government shared plans to roll out the Japan Electronic System for Travel Authorization (JESTA) by 2028. Basically, the online pre-travel authorization system is designed to tighten border control and allow foreign travelers to process their requirements online and ahead of time, making things more convenient for them.

Below are the latest tips shared by the Embassy of Japan that you would want to keep in mind for a seamless visa application.

Submit your application early

More people are applying for Japan visas each year, with 2025 hitting a record high. The embassy reported in January 2026 that it issued a  whopping 490,907 short-term visas for 2025 alone. Due to the high volume, processing takes several weeks, even though the “processing time at VFS Global will take an estimated 2-3 business days, with the embassy of Japan taking six,” Suzuki said.

Because of this, he advised, “to prepare visa applications approximately 1-2 months ahead of the scheduled departure.” It is especially imporant to follow this lead time during peak season like spring (late March to mid-April) for cherry blossoms and and autumn (October to November) for fall foliage. 

“There’s no need to book a flight before applying for the visa,” he said. Still, it’s important to take note that the embassy requires travelers to submit their application form along with a clear, detailed schedule of your trip, including hotel names and contact details.

Provide authorization letter for appointments of other family members

So you’re the head of the family and want to handle the applications of your wife and children. The embassy says you can schedule just one appointment for the entire family, but make sure to submit authorization letters for any member applying.

Suzuki explained: “The representative, who in this case is the head of the family, is advised to manage the signed authorization letters for each individual, together with their visa requirements. Adults must sign their authorization letters, while for children below 13 years old, the mother must sign on their behalf. In case the mother is unable to sign the letters, a guardian duly authorized by the Department of Social Welfare and Development may do so.”

Take note as well that all the signatures must be consistent across all documents to avoid further delays.

Only book appointments through the VFS Global website

Since April 7, 2025, the embassy requires that all appointment bookings be made exclusively through the VFS Global website. “Due to the rise of online scammers, applicants are advised to exercise extreme caution to avoid fraudulent appointments and fake travel agencies,” Suzuki emphasized.

Among the services offered by the online portal is the “Premium Plus Appointment” which will not speed up the process but are meant to make the appointment experience more comfortable and personalized. This includes access to a Premium Lounge area with printing and photo-taking services, seating, refreshments, and a staff member to assist you while you submit your documents.

Those asking for the link to the Premium Plus appointment through a call to VFS Global need not worry because if “the link provided through the call was generated from the official VFS Global Website, it can be considered a valid appointment,” Suzuki said.

Withdraw the application for any changes in details

Submitted your application—but then you spotted a mistake? Suzuki says the fix is simple: withdraw it and submit a new one. He explained: “In order to change the application details, an applicant has to withdraw their application first and reapply online, as the Embassy of Japan can only review the info initially submitted in the application and therefore cannot entertain last-minute revisions.”

To prevent this from happening or experiencing unwanted delays to your visa applications, do take note of the following:

  • All documents must be on A4-sized paper
  • Do not use erasable pens on your application form.
  • Fill out all fields on the application form and write “N/A” for any fields that do not apply to you.
  • Make sure that the information on your application form match the passport exactly to avoid denial.
  • Attach a 4.5cm x 3.5cm photo taken within the last six months on the application form.
  • Submit a bank certificate showing a six-month average daily balance.
